Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive at the time of booking confirmation or upon vehicle collection. This document outlines the terms, conditions, insurance information, and your responsibilities specific to that rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Requirements for Vehicle Rental
- To hire a vehicle from Hardgate, you must be at least 21 years of age, although requirements may differ based on vehicle type. A valid, full driving license appropriate for the vehicle category is necessary, held for the minimum duration stated in the Rental Agreement. You will need to present valid identification, proof of address, and payment information, including a security deposit. Additional conditions may be outlined in the Rental Agreement.
3. Reservations and Payments
- Reservations at Hardgate can be made via our website, over the phone, or directly at our Dartford office. A booking deposit may be necessary to confirm your reservation. Full payment and a security deposit are generally required upon vehicle pickup. Prices are quoted in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely through trusted payment partners.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is your responsibility to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be created and signed by both parties. Please return the vehicle in the same condition as when it was collected, accounting for normal wear and tear. Any new damage will be evaluated and may result in additional charges. Ensure that the vehicle is returned with the same fuel level as received; refueling fees will apply if it is returned with less fuel. Late returns may incur extra charges, so please inform us as soon as possible if you anticipate being late. You will be liable for any parking fines, traffic violations, or other charges incurred during your rental, along with a related administration fee.
Insurance and Liability Terms
- All rentals at Hardgate include basic third-party insurance. You will find comprehensive details regarding coverage and excess amounts in the Rental Agreement. Additional insurance options may be offered to limit your financial responsibility. It is advisable to review these options thoroughly. You remain liable for damages or loss up to the excess amount, unless additional insurance is purchased. Any damage resulting from negligence, misuse, or violations of these Terms remains your responsibility, regardless of insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies depend on the type of booking and the notice provided. For accurate information, please check your booking confirmation or Rental Agreement. Note that late cancellations or failure to show may incur additional charges.
7. Restricted Activities
Prohibited Vehicle Uses
- Using our vehicles for any illegal purposes or activities is strictly prohibited. This includes racing, off-roading, or other dangerous driving practices. Transporting hazardous materials or sub-letting the vehicle to unauthorized parties is not allowed. Additionally, driving under the influence of alcohol or drugs, exceeding passenger or weight limits, and operating outside the agreed geographical boundaries without proper authorization are violations of our terms.
Breach of these terms may lead to rental termination and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Hardgate Car Hire accepts no responsibility for indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claim is limited to the amount you paid for the rental in the previous 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
Applicable Law
These Terms are governed by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of the English and Welsh courts.
Revisions to Terms
Hardgate reserves the right to update these Terms at any time. Changes take effect immediately upon publication on our website. Continued use of our services indicates your acceptance of the revised Terms.
